    Who it is for

For the people who run HR's busiest administrative work

    HR managers

Leaders who answer the same employee questions, send the same notices and want a safer, clearer way to hand routine work to AI.

    HR operations

Owners of the processes behind policies, onboarding paperwork, reminders and requests that move between people and systems.

    HR technology teams

The people who know which tools are approved, which integrations are authorized and what access each step really needs.

    The outcome

Not a general AI lecture. A workflow plan you can put to work.

Each participant leaves with one documented, implementation-ready workflow plan. The workshop produces the plan, not a deployed integration.

    What the workshop is

    • Hands-on work on the repetitive administrative tasks your HR team carries
    • Built around AI tools and systems your organization has already approved
    • A documented plan with owners, permissions, source policies and human review points

    What it is not

    • A general AI lecture or generic prompting class
    • A deployed integration, or a promise of out-of-the-box connections
    • Legal, compliance or employment law advice

    The method

    The CLEAR framework

Five steps that run through every module, taking one workflow from how it works today to a plan your team can implement.

    1. Capture

Capture the repetitive tasks in the workflow, who does them and what each one costs in time today.

    2. Lighten

Lighten the workflow by removing unnecessary steps before any AI is added.

    3. Enable

Enable approved AI tools and authorized integrations only where they fit the redesigned steps.

    4. Assess

Assess accuracy, exceptions, time returned and employee experience against measures you agree on.

    5. Refine

Refine the workflow based on feedback from employees and the HR staff who run it.

    Six modules

    What the workshop covers

The session is customized to your team. Exercises use sample policies and fictional employee examples rather than real employee data.

    1. Module 1 · CLEAR: Capture

      Find the administrative burden

      • Map repetitive employee questions, manual handoffs and duplicated data entry
      • Calculate a baseline of the time each task takes today
    2. Module 2 · CLEAR: Lighten · Enable

      Employee questions answered

      • Design a policy-grounded FAQ assistant that answers only from approved sources
      • Choose response channels: chat, email and optional voice
      • Define how exceptions and sensitive questions escalate to a person
    3. Module 3 · CLEAR: Lighten · Enable

      HR communications and document productivity

      • Draft routine announcements, onboarding messages and administrative communications
      • Build in human verification before anything is sent
    4. Module 4 · CLEAR: Assess

      Policy refresh and consistency

      • Compare handbook versions side by side
      • Flag conflicts, gaps and stale content for human review
    5. Module 5 · CLEAR: Enable

      AI across authorized HR systems

      • Identify possible integrations across your HRIS, email, shared drives, documents and spreadsheets
      • Explain permissions and feasibility for each one
      • No out-of-the-box integrations are implied
    6. Module 6 · CLEAR: Assess · Refine

      Workflow pilot and ROI

      • Prioritize workflows by frequency, time, risk and implementation effort
      • Design ownership, baseline, review and escalation
      • Set measures of time returned

Optional advanced module · not part of the core workshop

    Evidence-linked employee-relations documentation

For teams that ask for it, a short add-on on drafting employee-relations documentation such as performance improvement plans (PIPs), write-ups and investigation summaries.

    • Every statement traces back to a documented fact or source record
    • Work happens only in authorized systems
    • A qualified person reviews and owns every final document

AI does not conduct investigations or make disciplinary decisions. The module is educational and is not legal advice.

    Optional demonstration

    Policy governance

An optional policy governance demonstration may reference CEGIX by ClinEfficiency Pro to illustrate governance concepts such as approved sources and version control. It is shown for illustration only and is not presented as a verified production HR module.

Outside the scope of the workshop

    • Conducting employee-relations investigations or making disciplinary decisions
    • Hiring, candidate screening or selection decisions
    • Building a working HR chatbot or connecting live HR systems
    • Promises of plug-and-play integrations or a set number of hours saved

    Safe use comes first

Plans use only AI tools and systems your organization has approved, with access limited to what each step needs. Answers come from current, approved policies, and exceptions or sensitive questions go to a person.

Please do not bring real employee records or personal data to the session. Each organization remains responsible for following the federal and state employment and data privacy laws that apply to it. The workshop is education and workflow training, not legal advice.

    Frequently asked questions

What is the HR AI Workflow Lab?

It is a customizable 2 to 3 hour guided workshop where HR managers, HR operations and HR technology teams work on reducing repetitive administrative work with approved AI. Each participant leaves with one documented, implementation-ready workflow plan.

Is this a general AI lecture?

No. It is hands-on. Participants map their own administrative work through six modules and the CLEAR framework, then design one workflow they could implement.

Will we leave with a working integration or chatbot?

No. You leave with an implementation-ready plan. Building and connecting systems is a separate step your organization and its approved vendors own. No live HR systems are connected during the workshop.

Does the workshop cover employee relations?

The core workshop does not. A short optional advanced module covers evidence-linked documentation such as PIPs, write-ups and investigation summaries, with factual traceability, authorized systems and human review. It does not cover conducting investigations or making disciplinary decisions.

How much time will we save?

The workshop does not promise a set number of hours. The Time-Returned Calculator estimates time returned from your own task counts and durations, and your plan defines how you measure actual results.

Is it virtual or onsite, and what does it cost?

Both formats are available by inquiry, and the session can be customized to your team. Schedule and pricing are available on inquiry.

Is this workshop part of a conference session?

No. Conference talks and speaking sessions are separate events and do not include this workshop.
